A Complete List of Concessions For Hotel Contract Negotiations

A concession, as it pertains to a hotel contract, is an item or service that is granted by the hotel supplier in order to secure your room block or event at their hotel. Often these items or services are provided complimentary. The number of concessions allotted in a contract will vary depending on how much the hotel supplier needs your business. If your room block or event is easily replaceable your concession list will most likely be short. If your room block or event falls over a need date for the hotel then the list of concessions you will receive might be much longer. Noted below is a complete list of standard and non-standard contract concessions that you should ask for during your contract negotiations.

Standard Concessions
a list of concessions that most hotel suppliers will agree to upon request.
1. - 10% discount on audio visual.
2. - 10% discount on food and beverage.
3. - Group rate will be available 3 days pre and post dates.
4. - 1 per 50 - For every 50 rooms actualized in your room block the hotel will offer you one complimentary room in return.
Often this room can be assigned to a guest prior to arrival or added as credit to the master bill.
6. 5 upgrades to the concierge level at the group rate.
7. Double reward points. For every dollar actualized during your program you will receive 2 points from the hotel supplier rewards program. These points can be utilized personally for vacations or used as a company employee incentive depending your company policy.
8. 5 complimentary welcome amenities with a pre-determined value for VIP's.
9. Complimentary high speed internet access in the guest rooms.
10. Complimentary high speed internet access in the meeting space.
11. No Walk Policy.
12. 1-5 Staff rooms at 50% of the group rate.
13. 1-5 upgrades to the concierge level at the group rate.
14. 1-5 upgrades to suite level rooms at the group rate.
15. 1-5 complimentary suite upgrade for a VIP or executive team member.
18. Waived or discounted resort fees.
19. Free Wall Street Journal or USA Today delivery for guests in the room block.
20. Complimentary use of the health club or fitness center.
21. Complimentary or discounted parking for event attendees.
22. Discounted or complimentary storage for packages arriving 3 days prior to the event.

It is important to choose the concessions that are important to you or your group. Most hotel suppliers will not offer all of these concessions in every contract. However it is not unreasonable to ask for these items during the contract negotiations.

Non-Standard Concessions
a list of concessions that hotel suppliers will offer depending on the value of your program, and their business needs over the dates of your program.

1. a discount larger than 10% discount on audio visual.
2. a discount larger than 10% discount on food and beverage.
3. 1 per 40, or 1 per 30 might be an option depending on how much the hotel needs your business.
4. Triple or Quadruple rewards points from the hotel supplier.
5. more than 5 upgrades to the concierge level at the group rate.
6. more than complimentary welcome amenities with a pre-determined value for VIP's.
7. more than 5 staff rooms at 50% of the group rate. The discount on the group rate might smaller or large.
8. more than 5 upgrades to the concierge level at the group rate.
9. more than 5 upgrades to suite level rooms at the group rate.
10. more than 1 complimentary suite upgrades for VIP's
11. - Waived outside audio visual fee. Often hotels will charge for using an outside audio visual company.
If you are planning on utilizing outside audio visual, ensure this concession is noted.
12. Complimentary room nights and meeting space for meeting planning team to conduct pre-meeting site visits and planning.
13. Complimentary pre-event taste meal for menu planning.

Most major hotel suppliers will require an IATA number for this concession. However a rebate to the master might serve as an alternative.
18. 1-10% rebate to the master account. Typically will only include rooms revenue, but some hotel suppliers will include food and beverage and audio visual.

Credited rooms will count towards potential attrition fees, commission or rebate payments, and complimentary room credits.
